Privacy Statement

1. Purpose and legal basis of the processing of your personal data

In the context of the European Partnership on Animal Health and Welfare (EUP AH&W) personal data will be gathered and this on the basis of your explicit consent.

The personal data provided by you will be processed by us with the utmost attention and care with a view to realising: mailing lists for the newsletter, partnership growth, events, surveys.

2. Who is the data controller and how can you contact us?

This European Partnership on Animal Health and Welfare (EUP AH&W) is coordinated by Ghent University and its website is carried out by IZS Teramo.

Ghent University and IZS Teramo act as joint controllers for the processing.

3. What personal data are processed?

"Personal data" is information that contains information relating to an identified or identifiable natural person.

In the context of the EUP AH&W (website, newsletter, mailing lists, events, additional networks outside the Partnership) the following data is kept: your name, your e-mail address, phone number, function or position in your organisation, your organisation, your domain of expertise, diet requirements, pictures, gender.

The European Partnership on Animal Health and Welfare (EUP AH&W) does not process special categories of personal data ("sensitive data") revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, nor does it process genetic data, biometric data for the purpose of uniquely identifying a person, or data concerning health, or data concerning a natural person's sex life or sexual orientation.

4. Who has access to your personal data?

The European Partnership on Animal Health and Welfare (EUP AH&W) have access to your personal data on a strict need-to-know basis. This access is therefore only valid for the purposes stated in this privacy statement.

In order to set up an expert network on biosecurity research priorities, EUP AH&W works together with UCLM, who receives the following data from you: your name, your phone number, your e-mail address, your company name and your area of expertise.

EUP AH&W ensures that your data is not passed on to third parties, except in the cases described in this privacy statement, in the event that you have given your prior consent to do so or where the access, use, retention or disclosure of your personal data is reasonably necessary (e.g. to comply with applicable regulations, to detect technical or security problems, protect the rights, property or safety of EUP AH&W, etc.).

5. How long will your personal data be processed?

Your personal data will be processed with the necessary retention period to organise the activity and to carry out the administrative processing. At the end of this period, your data will be deleted.

6. Security of your personal data

The European Partnership on Animal Health and Welfare (EUP AH&W) takes appropriate technical and organisational measures to protect your personal data against any form of loss or unlawful processing, as described above, access to your data is limited and the data regularly backed up. The data is located on a protected server within the EU.

7. What rights do you have in the context of the processing of your personal data?

When we collect and use your personal data, you have a number of rights which you can exercise as described below.

Please note that if you wish to exercise a right, we may ask you for additional information. We do this to prevent a breach in relation to your personal data, for example because an unauthorised person is acting on your behalf and exercising a right in your name.

  1. You have the right to access your personal data, which means that you can ask us to provide you with information about the personal data we hold about you. You can also request a copy of your personal data. Please note that you must indicate the processing activities for which you wish to access your personal data.

  2. You have the right to request that we correct your personal data if you can demonstrate that the personal data we process about you is inaccurate, incomplete or out of date. Please indicate the context in which we use your personal data so that we can assess your request quickly and accurately.

  3. If we have asked for and obtained your consent to collect and use your personal data, you always have the right to withdraw this previously given consent. This withdrawal does not affect the lawfulness of the processing of personal data already processed on the basis of this consent.

  4. You can request that we delete your personal data if it is no longer necessary for the purposes for which we collected it, if it was unlawful to collect it or if you successfully exercised your right to withdraw your consent. If any of these circumstances apply, we will delete your personal data without undue delay, unless legal obligations or administrative or court orders prohibit us from deleting your personal data.

  5. You can ask us to restrict the processing of your personal data in the following circumstances:
    • while we review your request to correct your personal data;
    • if such processing was unlawful but you prefer a restriction to erasure;
    • if we no longer need your personal data, but you need it to establish, exercise or defend legal claims.

To exercise your rights, you can contact the European Partnership on Animal Health and Welfare (EUP AH&W) via eupahw@ugent.be or the Data Protection Officer via privacy@ugent.be. If your request is justified, we will inform you no later than 30 days after receipt of your request.

If you make the same request repeatedly and cause obvious inconvenience, we may deny these successive requests or charge you an administration fee. We may also deny you the right to access your personal data, or grant you only part of it, if such access could disproportionately harm the rights and freedoms of others, including those of Ghent University. If you have a complaint about the processing of your personal data, you can contact the Data Protection Officer via privacy@ugent.be.

This privacy statement may be amended to comply with applicable regulations.

If the privacy statement is amended, this will be mentioned on our website.
